In India,
URC is implementing the ASSIST project which is a USAID funded program to help
enhance the improvement capability in the Indian health system by engaging
national and state structures to conduct improvements in maternal, neonatal,
and child health along the continuum of care, including through public and
private entities.
Position Summary The Procurement & Admin Assistant will
provide support to Finance & Admin team in Project office located in Delhi. This person will
provide support to Sr. Manager - Finance & Administration and be an
integral part of the Finance team. S/he will ensure high quality and accuracy
of work. S/he will work closely with the other state Finance Officers.
Essential Job Functions Specific responsibilities including
but not limited to:
• Coordinate with the finance team related to tracking
payments and expenses and to manage petty cash.
• Logistics and travel arrangements for staff and projects
partners travelling and for conferences, meetings, workshop, special events,
appointments. Also to keep a tracking system for the same.
• Provide
administrative support in operations and help in office management or any other
duties/tasks
• Support procurement
processes including preparation of RFQs, RFPs, documents, receipts of
quotations, bids or proposals, evaluation forms, and supporting documents.
Manage the procurement of equipment and supplies and maintain inventory:
includes bidding process, delivery, and processing.
• Assist in preparing Purchase Orders and contracts. Monitor
and prepare purchase approvals, check requests, expense reports, fee payments,
and invoices as per USAID & URC guidelines
• Maintain office files and tracking systems for all
procurements, office supplies, and vendor payments.
Qualifications The ideal candidate will hold the following
qualifications:
Essential
• PGDM / B. Com. / M.A. / B.A.
• 3-5 Years experience with a large donor funded project,
preferably USAID.
• Experience in Procurement & Administration work.
• Computer knowledge in MS office, Power Point etc.
• Ability to handle vendors and support internal team
• Fluency in written
and spoken English.
• Strong organizational skills, ability to manage many tasks
simultaneously and ability to work under time pressure.
• Detailed-oriented
and accurate in work performance.
• Strong teamwork and
interpersonal skills.
Desirable
• Strong problem solving skills
• Proven ability to
work well with diverse groups and work as part of a team
• Ability to work and
achieve results in challenging environment
• Adaptability and
ability to cope with change; ability to turn challenges into opportunities
Duration of Contract
One year with possibility of extension
Compensation offered
Depending on qualification experience and URC salary rules
and regulations
