The Need
The Writer maintains and monitors the administrative system of the Communications department. This person
will assist the director in the overall organizational development of the department. The position requires strong written communication with an ability write letters to various stakeholders and craft articles for national publications. This role also requires facilitation of training sessions for various audiences, ranging from government officials to rural community members and media professionals. This position is based in Chennai, Tamil Nadu and requires some travel throughout South India. This position reports to the Director of Communications and Education.
Responsibilities
- Assist in the overall organizational development, such as maintaining leave details, overseeing finances and administrative functions, and coordinating vendor management of the department;
- Generate monthly reports and metrics for the communications team timely;
- Perform responsible secretarial and clerical work with speed and accuracy;
- Coordinate travel arrangements, draft agendas and maintain file of department's incoming and outgoing correspondence for reference;
- Update and maintain waiver forms after every rescue operation;
- Review and proof documents, records and forms for accuracy, completeness and conformance to applicable policies;
- Coordinate logistics for IJM presentations and training sessions;
- Maintain communications contact database and distribution for IJM publications;
- Review publications for relevant news and file articles appropriately;
- Maintain relationships with external vendors for department engagements;
- Train stakeholders at IJM engagements using bonded labour awareness materials;
- Work with the Director of Communications and Education to develop programme monitoring and evaluation plans specific to trainings;
- Evaluate and prepare reports on the results of IJM's training programmes to the Director of Communications and Education and create a database for thorough documentation of training sessions;
- Review and update communications presentation power points and materials on a regular basis;
- Deliver presentations on IJM to a variety of audiences and attend functions or events as a representative of IJM Chennai;
- Foster strong relationships with local media contacts;
- Maintain confidentiality of privileged and sensitive information and comply with all laws and ethical cannons; and
- Carry out an additional portfolio of assignments given by the Director of Communications and Education.

Required Skills and Experience
- Relevant work experience;
- Bachelor's Degree or beyond;
- Detail-oriented proof reading skills;
- Excellent writing skills;
- Self-motivated, articulate and able to manage multiple tasks;
- Knowledge of Microsoft Suite Software, Windows 2000 and Windows XP;
- Fluent in English and Tamil. Ability to speak and write Telugu is preferred; and
- Organized, meticulous attention to detail.
